Introduction

Hunters Mindset (“we,” “us,” or “our”) respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, store, and share your information when you use our website and services (including our newsletter and community forum), as well as your rights and choices regarding that information. By using the Hunters Mindset Platform or providing us with your information, you agree to the terms of this Privacy Policy and consent to the collection and use of information as described here. If you do not agree, please discontinue use of our services.

Our Platform is intended for a general audience of adult hunters and outdoor enthusiasts; it is not directed at children (see Children’s Privacy below). We do not sell your personal information to third parties, and we do not share it for cross-context behavioral advertising purposes. We use your data only as needed to serve you, improve our offerings, and foster the community, as detailed in this Policy.

We collect information in two main ways: (1) information you voluntarily provide to us, and (2) information collected automatically through technology when you interact with our Platform.

  • Contact and Account Information: When you subscribe to our free newsletter (Waypoint) or sign up for a membership (The Long Hunt), we ask for your name and email address at minimum. For creating a member account or forum account, you may also choose a username and provide a password (or use an email login link, depending on our authentication method). In the forum, you might optionally add profile details like a brief bio or location.
  • Payment Information: If you purchase a paid membership, you will provide payment details. Payments are handled by Stripe on our behalf. This means your credit card number and other financial data are sent directly to Stripe. We do not store full credit card numbers or CVC codes on our servers. We may retain non-sensitive payment records such as the amount paid, the product (membership plan) purchased, and the last four digits of your card or the card type, for receipts and account record-keeping.
  • Communications and Inquiries: If you email us, fill out a contact form, or otherwise communicate with us, we collect the information you choose to give in those communications (for example, your email address and the content of your message).
  • User-Generated Content: Any content you post on our Platform – for instance, posts or comments in the Hunters Mindset forum – is collected and stored. This can include text, images, or any other information you choose to share. Keep in mind that content you post in the community may be visible to other members (or the public, if the forum is ever made public), along with your chosen username and any profile information.

2. Information We Collect Automatically:
When you use our website or emails, certain data is collected automatically to help us understand usage and improve our services. This may include:

  • Usage Data: We collect information about how you interact with our site, such as the pages or articles you view, the date and time of your visits, the referring page (if you clicked a link to come to our site), and your browsing patterns. For example, Ghost (our publishing platform) may log that a member read a particular article or clicked a link in an email newsletter.
  • Device and Technical Data: We may collect information about the device and browser you use to access the Platform. This could include your IP address, browser type, device type (e.g., mobile or desktop), operating system, and version. This information helps with debugging technical issues and ensuring compatibility with our site.
  • Cookies and Similar Technologies: We use cookies (small text files stored on your device) and similar technologies to provide and enhance our services (see “Cookies and Tracking” below for details). For instance, when you log into a members-only area or the forum, cookies keep you logged in and remember your preferences. We do not use third-party advertising cookies, but our site and integrated services may use cookies for functionality and analytics.

3. Information from Third-Party Services:
We limit our use of third-party data, but if you engage with Hunters Mindset via a third-party or integrate something, we might receive information from them. For example:

  • If in the future we allowed sign-in via Google/Facebook or similar (currently we do not), we would receive basic profile info from those accounts (we will update this policy if such features are introduced).
  • Our Discourse forum software may provide us with aggregate information about forum usage (such as number of posts, active users, etc.) and has access to the data you provide to the forum. However, Discourse (the platform provider) does not collect additional personal info beyond what is needed for forum operation, unless you explicitly provide it on the forum.

How We Use Your Information

We use the collected information for purposes consistent with our mission of serving the Hunters Mindset community and running our business. The main ways we use your information include:

  • Providing the Service: We use personal information to create and manage your accounts (website membership and forum account), to authenticate you when you log in, and to deliver the content or features you have signed up for. For example, we use your email to send you the weekly Waypoint newsletter or The Long Hunt member content, and to grant you access to members-only articles and forum areas.
  • Processing Transactions: If you purchase a membership, we use the provided information to process your subscription. This includes using payment details to charge fees via Stripe and recording your membership status. We might also send you receipts or confirmations of your payments.
  • Communications: We may use your contact information to send important notices, such as service updates, changes to terms or policies, or customer service messages (for example, if there’s an issue with your account or payment). We also respond to your inquiries or support requests using your email or other contact info.
    Marketing and Newsletters: With your consent (or as allowed by law), we will send our newsletter and occasional updates about new content, features, or promotions related to Hunters Mindset. These communications will always come with an option to unsubscribe or manage your preferences.
  • Community Engagement: Information like your username and posts are used to facilitate the forum community. We may highlight certain discussions or user contributions in the community (for instance, featuring an informative forum post in a roundup email, giving credit to the author). If we ever want to use your content outside the platform (e.g., quoting a testimonial), we would seek permission.
  • Improvement and Analytics: We analyze usage data and feedback to understand what is working and what isn’t. For instance, we might track email open rates or which topics are most popular to help inform future content (Ghost’s built-in analytics may provide us with such insights). We may also use aggregate data to improve site navigation, fix technical issues, and enhance user experience. This analysis is usually done on anonymized or aggregated data that does not identify individuals.
  • Safety and Moderation: We use information to keep our Platform safe and enforce our community rules and Terms of Use. This can include monitoring forum activity for rule compliance, investigating suspicious or reported behavior, and taking action against accounts that violate guidelines (using data like posts or user reports to determine what happened). We also use technical data (like IP addresses or logs) to detect and prevent fraudulent activities, security breaches, or attacks on our website.
  • Legal Compliance: If necessary, we will use and disclose personal information to comply with legal obligations. For example, retaining transaction records for tax/audit purposes, or disclosing data in response to lawful requests (court orders, subpoenas, or to meet GDPR/CCPA data access requests from you as described below).
  • Business Operations: In running our platform, we may use data for typical business operations such as bookkeeping, auditing, and accounting (e.g., keeping membership lists and payment records), or in the context of a business transaction (see “Sharing Your Information” below if we ever undergo a change like a merger or acquisition).

We will only use your personal information for the purposes for which we collected it, unless we reasonably consider that we need to use it for a related reason that is compatible with the original purpose (and where permitted by law). If we need to use your data for an unrelated purpose, we will notify you and, if required, obtain your consent.

How We Share Your Information

We understand that your personal information is important. We only share your data in a few specific situations, outlined below, and we do not sell your information to third parties for profit or share it for targeted advertising purposes.

1. Service Providers (Third-Party Processors): We share information with trusted third-party companies who provide services necessary to run our Platform. These providers are given access to the data needed to perform their functions, but they are not permitted to use it for other purposes. Key service providers include:

  • Stripe (Payment Processor): As noted, if you make payments, your payment information goes to Stripe. Stripe will process your payment data subject to their privacy and security policies. We may share your name and email with Stripe to facilitate the transaction and send receipts. Stripe might also send us limited information (e.g., confirmation of payment, last4 of your card, card expiry) which we keep for records.
  • Ghost (Website/Newsletter Platform): Our site and mailing system run on Ghost. Ghost stores the member database which includes your name, email, membership level, and content preferences. Ghost acts as a processor by sending out emails to you on our behalf and tracking basic analytics (like who opened an email). Ghost’s software also handles membership authentication (for example, if we use email login links, Ghost verifies and logs those). The Ghost platform’s administrators (if we use a hosted version) might technically have access to our user database, but they will only access it as needed to maintain the service and under obligations of confidentiality.
  • Discourse (Forum Software/Hosting): Our community forum is powered by Discourse. If the forum is hosted by us on our server, we treat all forum data under this policy. If the forum is hosted by the Discourse organization or another provider, that host may process user data (like account info and posts) to operate the forum on our behalf. In either case, forum user data (profiles, posts, messages) may be stored on servers that are technically operated by a third party. Discourse may collect some logs or usage data for maintaining the service, but they typically act under our instructions for hosted forums. We have configured the forum as a private community for members, so your forum content is shared only with other authorized users and not publicly on the internet (unless we explicitly change that setting, which we have no plan to without informing members).
  • Email Delivery Services: Ghost itself handles email delivery, but if we ever use an external email sending service (like Mailgun, SendGrid, etc.), those providers would obviously process your email address and the content of newsletter emails to send them to you. We would ensure any such provider has appropriate privacy safeguards.
  • Analytics or Logging Tools: At present, we primarily rely on Ghost’s built-in analytics and basic server logs. We are not extensively using third-party analytics like Google Analytics (and if we introduce such tools, we will update this policy). However, standard web hosting providers may log requests to the site (which include IP addresses) for maintenance and security. If an outside tool is used for aggregate analytics in the future, we will do so under compliance with privacy laws (and again, update you accordingly).

Each of these service providers is bound by their own privacy commitments. We limit what data they can access and use: generally, they should only access what is required to perform their specific services for us.

2. Within the Community (Your Choice): Some information you share on Hunters Mindset is visible to others by the nature of the Platform. For example, when you post on the forum, other members (and potentially anyone with access to the forum) will see your posts, your username, and any profile information you’ve made public. Similarly, if you comment on an article (if that feature exists) or engage in any peer-to-peer communication on the site, those communications are shared with the intended audience. This is your choice to share information in these ways. Please be mindful that any personal details you post in public community areas can be seen, collected, or used by others, and is not considered “private” from the standpoint of this Privacy Policy. We encourage you not to post sensitive personal information that you wouldn’t want to be public. We are not responsible for how other users may use information you disclose to the community.

3. Legal Requirements and Protection: We may disclose your information if required to do so by law or legal process, or if we have a good faith belief that such action is necessary to:

  • Comply with applicable laws, regulations, legal requests (like a subpoena or court order).
  • Enforce our Terms of Use or other agreements, and investigate potential violations thereof.
  • Detect, prevent, or address fraud, security, or technical issues.
  • Protect the rights, property, or safety of Hunters Mindset, our users, or the public. (For example, if we in good faith believe someone’s safety is at risk, we might provide information to the appropriate authorities.)

We will try to notify you of legal demands for your data when appropriate (e.g., if a government or party seeks it via legal process), unless we are prohibited by law or it is an emergency situation.

4. Business Transfers: If Hunters Mindset is involved in a merger, acquisition, asset sale, or other business transaction, user information may be transferred to the successor or new owner as part of that deal. If that happens, we will ensure that your data remains subject to confidentiality commitments and, if the new entity’s planned use of your data differs from this policy, we will notify you and possibly request your consent. Your privacy remains a priority in any such scenario.

5. With Your Consent: In cases where you have explicitly given us consent to share your information with third parties, we will do so as instructed. For instance, if we were to run a collaborative event with a partner and you opt-in to share your email with that partner, we would comply. If not such consent is given, we will not share your identifiable information with external parties.

6. Aggregated or De-Identified Data: We may share information that has been aggregated or anonymized (so it no longer identifies you personally) for purposes such as research, analysis, or promoting the platform. For example, we could mention “X% of our members are over 50 years old” or “we have members from Y number of states/countries” in marketing materials. This kind of statistical information will not include any personal details.

To reiterate, we do not sell your personal data to marketers or data brokers, and we do not share your information for others’ direct marketing. All sharing is only to support the provision of our own services or for the reasons described above.

Cookies and Tracking

Like most online services, Hunters Mindset uses cookies and similar tracking technologies to ensure our platform works smoothly and to improve your experience. Here’s how we use them:

  • Essential Cookies: Some cookies are necessary for the operation of our site. For example, when you log in as a member or into the forum, a cookie (or similar token in your browser storage) keeps you logged in so you don’t have to re-enter your credentials on every page. These authentication cookies are essential for protecting your account and delivering secure content only to authorized users. We also might use cookies to remember if you’ve seen certain messages (like a one-time welcome banner) so they don’t keep showing up.
  • Preference Cookies: If our platform offers settings like text size, dark mode, or language preference, we may use cookies to remember your choices and customize your experience.
  • Analytics and Performance: We use tracking tools to collect usage data as described earlier. Ghost’s built-in analytics might set a cookie or use local storage to count unique visits or to tell if you are a returning visitor. These metrics help us understand engagement (for example, distinguishing a new visitor versus a logged-in member for certain content). The information collected is typically aggregated and not used to profile individual behavior outside of our Platform. We do not use Google Analytics or other third-party analytics that track you across different sites at this time. If that ever changes, we will update this section and, if required, seek consent.
  • Email Tracking: When we send email newsletters, we may use technology (like tracking pixels or unique links) to know if you open the email or click on certain links. This helps us gauge interest in topics and manage our email list (for instance, removing inactive subscribers over time). You can disable images in your email client if you want to reduce tracking of opens, though it may also affect how the content appears.

Your Choices for Cookies: When you first visit our site, you may see a notice about cookies if required by law (particularly for EU/EEA visitors). You have the option to manage or refuse non-essential cookies. Most web browsers also let you control cookies through their settings (you can usually delete cookies or block them entirely, though blocking essential cookies might prevent you from logging in or using some features). Since we don’t use advertising cookies, your main consideration is whether you want to allow analytic cookies or not. Note that our essential cookies are, well, essential to the membership experience (e.g., staying logged in).

Do Not Track: Some browsers offer a “Do Not Track” (DNT) signal. There is not a universally accepted standard for DNT signals. However, since we do not engage in cross-site tracking or behavioral advertising, our site’s experience is generally the same whether or not a DNT signal is present. We treat all users with the same privacy considerations.

Data Security

We take the security of your personal information seriously and implement industry-standard measures to protect it. These measures include:

  • Encryption: Our website is served over HTTPS, which means data transmitted between your browser and our site (including login credentials) is encrypted in transit. Similarly, our payment processing with Stripe is conducted over encrypted connections, and sensitive financial information is handled by Stripe’s secure infrastructure.
  • Access Controls: Only authorized personnel (like the founder or a site administrator) have access to user personal data, and even then, only what's necessary for operating the service or assisting you. Administrative access to our systems is password-protected and limited. Forum data and membership data are protected by their respective admin interfaces, which also require authentication.
  • Platform Security: We keep our software (Ghost, Discourse, etc.) up-to-date with the latest security patches to minimize vulnerabilities. These platforms are well-established and have their own security features (for example, Discourse hashes passwords and Ghost does too for member sign-ins, etc.).
  • Third-Party Security: We choose service providers known for strong security. Stripe is a PCI-DSS compliant payment processor (meaning they meet strict security standards for handling payment info). Ghost and Discourse are open-source projects with active communities that emphasize security best practices. Where we use hosted solutions (like possibly Ghost(Pro) or a Discourse host), we rely on their security certifications and practices as well.
  • Backups: We may maintain secure backups of our data to ensure continuity in case of system failures. These backups are protected and stored in a manner to prevent unauthorized access.
  • Monitoring: We monitor for potential security breaches and have procedures in place to address any suspected breach. While we have never experienced a major security issue, we are prepared to notify affected users and authorities as required by law if one were to occur.

Despite all these efforts, it’s important to note that no method of transmission over the internet or method of electronic storage is 100% secure. We cannot guarantee absolute security of information. You also play a role in security: protect your account credentials, use a strong unique password for our forum (if applicable), and notify us if you suspect any unauthorized access to your account.

Data Retention

We retain personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.

  • If you are a subscriber or member, we will keep your profile information, content, and subscription records while your account is active. If you cancel your membership or unsubscribe from emails, we may retain certain information for a period of time to finalize transactions or as needed for legitimate business interests (such as maintaining financial records, resolving disputes, or auditing). Typically, email subscribers who unsubscribe will have their email retained on a suppression list to ensure we don’t accidentally email them again (as required by anti-spam practices).
  • Forum posts and contributions are generally kept as part of the community knowledge base. If you delete a post or if your account is removed, we may either remove the content or anonymize it (e.g., keep the post but dissociate it from your identity). You can request deletion of your account (see Your Rights below), in which case we will remove or anonymize personal data, but note that content you posted might remain in some form (without identifying you) if it was part of a collective conversation that others contributed to.
  • We retain payment transaction records for as long as needed for accounting and tax purposes – usually at least 7 years, as required by law for financial records – but these records contain minimal personal info (typically not full card numbers, just identifying info of the transaction).
  • Server logs and analytics data are generally retained for a shorter period. For example, basic web logs might be kept for a few weeks to monitor site performance and security, and aggregated analytics might be kept indefinitely (since they don’t identify individuals).
  • If there is information we cannot practically delete (for example, data stored in long-term backups), we will securely store it and isolate it from further active use until deletion is possible.

When we no longer have a legitimate need or legal obligation to keep your personal data, we will securely delete or anonymize it.

Your Rights and Choices

You have certain rights and choices regarding your personal information and how it’s used. We strive to honor these rights and make it easy for you to exercise them:

  • Access and Correction: You have the right to request access to the personal information we hold about you and to request corrections of any inaccuracies.   • Data Portability: In certain cases, you may have the right to request a copy of the personal data you provided to us in a structured, commonly used, machine-readable format (for example, a CSV file of your account information), and to have that data transmitted to another service where technically feasible. We will assist with such requests to the extent required by law (for example, under GDPR for EU users).
  • Deletion (Right to be Forgotten): You can request that we delete your personal information. For example, you may request we delete your forum account and posts (we may remove them or anonymize them as described in Data Retention), or delete your membership data. Keep in mind, there may be legal requirements for us to retain certain information (like transaction records), but we will inform you if that is the case. If you simply unsubscribe from the newsletter, we will cease sending you emails, and you can separately request full deletion of your email from our system if desired by contacting us.
  • Withdrawal of Consent: If we are processing your personal data based on your consent (for example, sending marketing emails to a non-member who explicitly signed up), you have the right to withdraw that consent at any time. The easiest way is by unsubscribing from emails via the link provided in any newsletter email. You can also contact us to be removed. Withdrawal of consent will not affect the lawfulness of any processing we carried out before you withdrew consent.
  • Opt-Out of Communications: As mentioned, any marketing or newsletter emails will include an “unsubscribe” or “manage preferences” link. You may opt out of such emails at any time. Note that if you are a paying member, we may still send essential account or service-related emails (such as billing receipts or important notices) even if you opt out of newsletters, as those are considered necessary for the service. We will keep those to a minimum.
  • Objection and Restriction (EU/EEA residents): If you are in certain jurisdictions like the EU, you may have the right to object to our processing of your personal information under certain circumstances, especially if we are processing it based on legitimate interests. You may also request that we restrict processing of your data (for instance, stop using it but keep it stored) if you contest its accuracy or our right to use it. We will review such requests and comply if required by applicable law.
  • California Privacy Rights (for California residents): California’s CCPA/CPRA grants residents the right to request information about what categories of personal data we collect, our business purposes for that collection, the categories of sources, and any third parties with whom we share that data. California residents also have rights to request deletion of their personal data and to opt-out of the “sale” or “sharing” of personal data. As stated, we do not sell personal information. If you are a California resident and send us a verified request regarding your data or any of these rights, we will respond in accordance with state law.
  • Automated Decision-Making: We do not use your personal data to make any legally significant decisions about you without human involvement. (For example, we do not have algorithms that deny membership or something like that – any decision like account termination for rule violations is made with human judgment.)

How to Exercise Your Rights: You can contact us at info@huntersmindset.com to make any privacy-related requests. Please indicate clearly what you are requesting (access, deletion, correction, etc.) and provide enough information for us to verify your identity (we may ask you to confirm some details we have on file, to ensure we don’t disclose data to the wrong person). We will respond to legitimate requests within the time frame required by law (for example, within 30 days for many requests, with the possibility of an extension if necessary). There is no fee for making such requests, though if a request is manifestly unfounded or excessive, we might charge a reasonable fee or refuse it (we will explain our reasoning in such a case).

We will not discriminate against you for exercising any of these rights. For example, if you request deletion of your data, we will comply and not unfairly limit your access to services (aside from the natural consequence that we need some data to provide membership, so deletion might require closing your account).

Children’s Privacy

Hunters Mindset is not intended for children. Our content and community are geared toward adult hunters (often ages 40+), and we do not knowingly collect personal information from individuals under the age of 13 (and in certain jurisdictions, under 16) without parental consent. If you are under 13, please do not use our Platform or provide any information about yourself to us.

If we learn that we have inadvertently collected personal data from a child under 13 (for example, if a minor falsely represented their age to subscribe), we will take steps to delete that information promptly. If you are a parent or guardian and believe your child has provided personal information to us, please contact us at info@huntersmindset.com so we can investigate and delete the data if necessary.

We encourage families to discuss internet safety and privacy with their children. While we don’t expect minors to be using our site given its subject matter, we still want to ensure compliance with laws like COPPA (Children’s Online Privacy Protection Act) in the USA and similar regulations elsewhere.

International Users and Data Transfers

Hunters Mindset is based in the United States, and the majority of our data processing occurs in the U.S. If you are accessing our services from outside the United States, please be aware that your information will likely be transferred to, stored, and processed in the U.S. (and possibly other countries where our service providers have operations, such as servers for Ghost or Discourse). Data protection laws in the U.S. may differ from those of your country of residence, and may not be deemed “adequate” under certain regulations (for example, the European GDPR).

However, we take steps to ensure that your privacy is protected in line with this Policy wherever the data is processed. For example, if we have European users, we may rely on mechanisms such as Standard Contractual Clauses (SCCs) or other approved data transfer frameworks to lawfully transfer data from the EU/EEA to the U.S. Our service providers like Stripe and Ghost also have their own measures for international data transfer compliance.

By using our Platform and providing information, users from outside the U.S. acknowledge the transfer of their personal data to the U.S. (and other jurisdictions as applicable).
